Senior Specialist - Systems Operations

At On, our operations move as fast as our runners. As the Senior Specialist for System Operations, you will be a critical part of the APAC SysOps team, dedicated to driving operational excellence and business continuity for the Japan, South Korea, and Oceania Online e-commerce channels.

You will act as the bridge between technology and regional business operations, ensuring uninterrupted system health, managing incidents with speed, and deploying automation tools to improve efficiency. This position will be located in Tokyo, Japan.

Your Mission

  • Regional & Channel System Ownership: Serve as the primary system support and subject matter expert for Japan and Korea (both online and offline), as well as Oceania Online e-commerce channel, ensuring optimal system health and minimal business disruption.
  • Incident & Issue Management: Handle Level 1 and Level 2 system support, proactively diagnosing root causes (e.g., e-commerce payment integrations, 3PL messages) and escalating complex issues to global technical teams when necessary.
  • Automation & Process Optimization: Lead the mapping of operational processes. Identify opportunities to automate manual tasks and utilize AI or basic coding to build smart diagnostic solutions.
  • User Empowerment & Training: Develop standard operating procedures (SOPs) and self-service guides. Conduct training sessions to equip regional operations, and logistics teams with the skills to handle new systems and processes independently. -Cross-Functional Collaboration: Work closely with cross-regional teams using our centralized service desk (Jira) to track projects, manage SLAs, and roll out new system functionalities across the region.

    Your story

    • Experience: Proven background in system operations, operational excellence, or IT support within an international/multinational company environment.
    • System Knowledge: Strong working knowledge of ERP systems, order management workflows, and e-commerce payment integrations. Direct experience using Microsoft Dynamics 365 (D365) is a significant advantage.
    • Technical Skills: Hands-on experience with process mapping and automation tools. A strong interest or background in leveraging AI tools and basic coding to drive operational efficiency.
    • Communication & Training: Exceptional cross-regional communication skills with a proven ability to translate complex technical jargon into clear, actionable training for non-technical end-users across different cultures and time zones (China, Japan, Korea, and Australia).
    • Language: Native or full professional proficiency in Japanese and business-level fluency in English are required to effectively support the local markets and collaborate with the global/APAC teams.
    • Mindset: A proactive problem-solver who thrives in a fast-paced environment and enjoys building systems that empower others.
