We are seeking a dynamic Project Administrator to join our IT Workplace and Retail team in Zurich. This role will be pivotal in providing comprehensive administrative support essential for the success of our various projects and initiatives. From invoicing to vendor relationships and project coordination, you will play a vital role in ensuring the smooth execution of both new and ongoing projects.

Your Mission

  • Efficient Admin Coordination: Spearhead the administrative coordination throughout all project phases, ensuring seamless communication and documentation.
  • Project Initiation: Gather and meticulously document project-specific details to kickstart new initiatives, setting the groundwork for success.
  • Vendor Relations: Collaborate closely with 3rd party vendors to ensure accurate invoicing and timely payments, fostering strong and sustainable partnerships.
  • Project Debriefs: Organize comprehensive debrief sessions to extract valuable insights and lessons learned, contributing to continuous improvement.
  • Data Analysis: Utilize analytical skills to dissect project data, providing valuable insights for informed decision-making.
  • IT Reports and Presentations: Support the team with the creation of detailed IT reports and engaging presentations to stakeholders.

Your story

  • Project Management Experience: Previous exposure to working alongside project managers, understanding the dynamics and intricacies of project lifecycles.
  • Communication Excellence: Strong interpersonal and communication skills, enabling effective collaboration with diverse stakeholders.
  • Time Management: Excellent time management abilities, adept at prioritizing tasks and meeting deadlines in a fast-paced environment.
  • Financial Acumen: Basic knowledge of finance or invoicing processes would be advantageous, contributing to accurate budgeting and financial tracking.
  • Ticket Handling: Experience with ticket handling systems, preferably Jira Service Desk, showcasing your ability to efficiently manage project-related queries and issues.
  • Administrative Proficiency: Demonstrable experience in project administration or similar roles, with a keen eye for detail and a commitment to quality.
  • IT Hardware Management: Familiarity with IT hardware ordering and operational management processes, ensuring the smooth provisioning and maintenance of equipment.
  • Vendor and Stakeholder Interaction: Comfortable interacting with project managers and external vendors, fostering productive relationships and facilitating effective collaboration.
  • Documentation Skills: Strong ability to create and maintain detailed spreadsheets and documentation, ensuring accuracy and accessibility of project information.

About the Team

The IT Workplace and Retail team holds global responsibility for the design and implementation of IT infrastructure and technology across all physical locations. Once operational, the site service team manages day-to-day IT services, focusing on operational excellence.
